Why DTV applications get refused
7 documented causes, specific to this visa. Advice that would apply to any visa application anywhere has been deliberately left out — you have read it already, and it is not why you were refused.

Residence proof that the Ho Chi Minh City post does not accept (rule dated 31 August 2026)
The Royal Thai Consulate-General in Ho Chi Minh City announced on 28 August 2026 that from 31 August 2026 DTV applications there require proof of permanent residence and a certificate of criminal record clearance. Its DTV requirements page reads the residence item literally: under clause 2.3, 'Proof of long-term residence in Vietnam', only a physical Temporary Residence Card (TRC) or Permanent Residence Card (PRC) counts, and a temporary residence declaration (NA17), a residence confirmation (CT07) or any equivalent is stated as not accepted. This is documented at Ho Chi Minh City and nowhere else that could be checked: eight other embassy hosts were probed for the same announcement and no copy was found, and the Kuala Lumpur DTV page, whose own timestamp reads 7 Sep 2026, carries no universal residence-card requirement at all. Treat it as this post's rule, not a confirmed system-wide one, and treat the risk as concentrated on applicants filing in Vietnam without a TRC or PRC.
What to do instead
Read the residence-document wording on your own post's page before paying the fee. If you are applying in Ho Chi Minh City, get the TRC or PRC card itself — an NA17 or CT07 will not be accepted. If you hold no residence card in the country you are applying from, confirm in writing with that consular section what it accepts before you file, and do not assume the Vietnamese wording applies or does not apply to your post.

Criminal record certificate missing, or the wrong grade of certificate
Where a post requires a police certificate, the grade matters. Ho Chi Minh City, from 31 August 2026, requires one issued by the competent authority of the applicant's country of nationality or Vietnam, and where it is Vietnamese it must be Criminal Record Certificate No. 2 — the fuller version, not the cheaper and faster No. 1. Other posts impose it by nationality rather than universally: Kuala Lumpur requires Nigerian citizens to submit the original clearance certificate from Nigeria's National Drug Law Enforcement Agency (NDLEA) or a Letter of Good Conduct from Malaysia's Ministry of Foreign Affairs, and asks nothing of the kind from other nationalities.
What to do instead
Check whether your post requires a police certificate at all before ordering one, since it is nationality-specific or post-specific rather than universal on the pages that could be read. If it does, order the full or detailed grade (No. 2 in Vietnam) and order it first — it is usually the slowest document in the set.

The THB 500,000 arrived in the account shortly before the application
The published rule is an amount with no holding period: Ho Chi Minh City lists 'Financial evidence: amount of no less than 500,000 THB, e.g. bank statements, sponsorship letter'. Posts appear to apply a seasoning expectation that is nowhere published. ExpatDen's DTV guide describes funds that have not been sitting in the account long enough as the most common rejection trigger, and a large transfer shortly before the application date as a red flag that can result in immediate rejection. That is a consumer guide's characterisation, not a consular statement, so the direction of the signal is better evidenced than its frequency. The embassy-stage expectation is also not the extension-stage rule: the Immigration Bureau's published criterion for a DTV extension is that the account be verifiable not less than 30 days prior to the application date.
What to do instead
Have the balance in place well before you apply and submit several consecutive monthly statements rather than a single closing-balance letter. If a large transfer is unavoidable, document where it came from. Use statements issued and stamped by the bank rather than app exports.

Freelance work proof with no verifiable counterparty
The workcation route accepts an employment contract from an employer outside Thailand, an employment certificate from that employer, or — only where there is no employment — a professional portfolio showing digital nomad, remote worker, foreign talent or freelancer status. The portfolio branch is the weak one: a self-written letter or a portfolio site with no named counterparty gives the officer nothing to verify. ExpatDen's guide states that freelancers and self-employed applicants are rejected at a higher rate than salaried remote workers because their documentation is harder to standardise.
What to do instead
Build the file around counterparties rather than self-description: signed client contracts still in force on the application date, matching invoices, and bank statements showing those invoices being paid. With one dominant client, get a letter on their letterhead confirming the engagement and its term. Include tax returns where you have them.

Translations certified by a notary or an agency where the post accepts only an embassy or foreign ministry
Kuala Lumpur requires that all supporting documents issued outside Thailand and Malaysia carry English translations certified and notarised by an embassy or a Ministry of Foreign Affairs. A notary public or a commercial translation agency does not meet that standard there, and translations bought from an agency have to be redone. Payment method is also set post by post rather than centrally: Ho Chi Minh City takes debit or credit cards only, while Vientiane's page states cash only in Thai Baht, non-refundable. The Vientiane page carries a last-updated stamp of 17 July 2024 and still instructs applicants to book an in-person appointment at thaivisavientiane.com with no walk-ins, which predates the move to the e-Visa platform — do not plan a trip around it without checking with that embassy first.
What to do instead
Work from the requirement page of the specific post you are filing through, and email its consular section to confirm the translation and notarisation standard before paying a translator. Where a post's page carries an old update stamp, confirm the current procedure and payment method by email rather than assuming the page is live.

An incomplete upload restarts the processing clock, and there is no way to buy back the time
An incomplete file at Ho Chi Minh City is not refused — it is reset. That post states that where an application is incomplete, the processing time restarts on the day the additional documents are resubmitted, and separately that expedited visa application is not available, with faster handling possible only for medical or family emergencies with proof. Kuala Lumpur states that a screenshot or an unclear file will prompt a request for more supporting documents and delay processing. Published baselines differ by roughly a factor of six between posts: Ho Chi Minh City quotes five working days excluding the day of submission, while Kuala Lumpur says approximately one month or more, evaluated case by case, and advises requesting the visa at least 30 working days before travel. Ho Chi Minh City's own page already warns that processing can take longer in certain cases and advises submitting at least two weeks before travel, so its five-day figure is not offered as a guarantee.
What to do instead
Assemble the full document set before you open the online application, so a missing page cannot restart the clock. Upload full-page PDFs from the issuing institution, including every page of multi-page statements and contracts. Budget your own post's published figure plus at least one resubmission cycle, and where the post quotes a month or more, start 8-10 weeks out so a police certificate has time to arrive first.

A soft-power activity booking with no signature, seal or institutional backing
For the activities route the embassy asks for proof of confirmation to attend the activity, or a letter of appointment from a hospital or medical centre. Vientiane adds that copies of agency, school, institution or company documents must be signed by an authorised person and stamped with that body's seal, so an unsigned, unstamped acceptance email is the version that fails. The standard then changes at extension time: the Immigration Bureau's published criterion for soft-power activities is certificates and requests for extension of stay from the relevant government authorities, which a private gym or cooking-school letter does not obviously satisfy. A thin activity file therefore causes a problem twice, and applicants report short enrolments bought to support an application faring worse than substantial ones.
What to do instead
Book with an established provider for a term long enough to look like real participation, and ask upfront for an acceptance letter signed by an authorised person and stamped with the company seal, plus the provider's business licence. Keep receipts, attendance evidence and photographs once in Thailand, because you will need to show the activity is still running when you extend.

If you have already been refused
A DTV refusal is not a ban and does not, on the published rules, carry forward as a mark against you. There is no appeal: Kuala Lumpur states that the Consular Section's decision on all visa applications is final, so the only route is a fresh application with a fresh fee — Ho Chi Minh City, Kuala Lumpur and Vientiane all state the visa fee is non-refundable. You can reapply as soon as you have fixed the problem; no waiting period is published. The difficulty is that posts do not generally issue a detailed written reason, so you are diagnosing your own refusal: work through that post's own checklist item by item, and if your application was filed at Ho Chi Minh City after 31 August 2026, check the residence-card and criminal-record items added there first. Some applicants reapply through a different post on the theory that the refusal turned on that post's reading of the rules rather than the rules themselves; that is a tactic reported by applicants rather than a published pathway, and it costs another full fee. A refusal is also distinct from an incomplete application: where a file is merely incomplete, Ho Chi Minh City does not refuse it but restarts the processing clock from the day you resubmit.
Rejection causes researched 11 September 2026; the visa’s own figures were last checked 10 September 2026. These are separate dates because they are separate pieces of work. Refusal practice is set at individual posts and changes without announcement — treat this as where to look, not as a guarantee.
